PRE-HACK

Join BizzyB: To be a mentor, you must be a member of BizzyB. Open a free account.

1. Join FREE: visit BizzyB.com >> click “Join FREE!” & complete sign up instructions.
2. Verify: check Email for Verification and accept.
3. Login: click “Login” at BizzyB using your new credentials.
4. Join “HIplan Hackers” Group: visit Features >> Groups >> Join Group >> search and select “HIplan Hackers” and submit.

Certify on Topics: there are 5 mentoring topics within BizzyB. Before you can Mentor in a category, you must first pass a 10-question True/False Certification Test. Such tests are not intended to challenge (if you answer incorrectly, an alert explaining the correct answer pops up and you can correct your selection), but rather to simply orient you to speak authoritatively on what is included in topic scope.

• Visit “Features” >> Mentor >> Certifications and take any/all certification tests. Upon successful completion, your account will be awarded a certification badge for each.

KICKOFF MEETING

Attend the Kickoff Meeting to:

• Get an overview of the hack.
• Introduce yourself ~ teams will want to know who you are and what kinds of insights they can gain from you.
• Gain access to team projects. Teams will invite mentors to their teams.

COLLABORATE AT BIZZYB

Teams will invite mentors to join, so just wait for invitations that will be delivered to your email address as well as to your in-app messaging area. When you receive an invitation, simply click the accept button.

Note that we have asked teams to only contact you through BizzyB channels so inquiries will be placed into queue to be respectful of your available time and time zone differences. Key BizzyB collaboration features include:

• Visit Team Content: You are invited to proactively check in on your mentee teams’ work by visiting Mentor >> {team-name} visit their Journal topics to use the comment channels in the sidebars of journal topics.
• Feedback Surveys: teams can send feedback surveys through BizzyB that can be sent via email address to anyone, including mentors. Surveys include content rating questions and the ability for surveyees to add comments. If you receive a notification to complete a survey, you can participate as convenient to your schedule.

OPTION TO ATTEND HUDDLES

Mentors are invited, but not required to attend Huddles. These meetings are for logistical announcements and team process questions.

SHOWCASE & AWARDS

Mentors are invited, but not required to attend the Showcase & Awards session. We will be taping the session and will make it available for later viewing. Agenda for this session is:

• 10-Min Pitches: Each team is allotted 5 minutes to present their pitch and 5 minutes for questions and answers by Judges.
• Awards: Tabulations will occur immediately with Awards and Prizes being announced directly following the conclusion of team pitches. Winner results will be published on the HIplan Hackathon page at BizzyB as well as promoted in a news release to media outlets.

OPTION to Observe Team BizzyB Work as a Guest

You’re invited, but not required, to join the HIplan Hackathon at BizzyB as a Guest. This will allow you to see team content relationships as they progress but will not allow you to edit team content or communicate with teams.

3. Login: click “Login” at BizzyB and use your new credentials.

Attend the Showcase & Awards session.

You will be provided a link to a Judges Card (a Google Sheet). IF you are not able to view G-sheets, we will provide a PDF for you to hand-write your judging responses. Agenda for this session is:

• 10-Min Pitches: Each team is allotted 5 minutes to present their pitch and 5 minutes for questions and answers by Judges.
• Awards: Tabulations will occur immediately with Awards and Prizes being announced directly following the conclusion of team pitches. Winner results will be published on the HIplan Hackathon page at BizzyB as well as promoted in a news release to media outlets.

Attend Zoom Kickoff, Huddles, Breakouts & Showcase 

The simplest way to observe this virtual hackathon is to tune into the Zoom channel at Zoom https://zoom.us/j/5056850809 . We will be using a general assembly meeting and separate breakouts for each team to work remotely on their own. We will also be taping the sessions and will make a short recap video available after the event.

OPTION to Join HIplan Group to Observe Team BizzyB Work in Progress

You may also join the hackathon group at BizzyB where you will be able to observe team journaling in progress but will not be able to edit team content or communicate with teams.

PRE-HACK

Join BizzyB

You will need to be a BizzyB member to manage Groups and Contests.

1. Join: visit BizzyB.com >> click “Join FREE!” & complete sign up instructions.
2. Verify: check Email for Verification and accept.
3. Login: click “Login” at BizzyB and use your new credentials.
4. OPTIONAL Get Tokens (if you are going to distribute tokens to contestants): click upper right coin icon to visit Tokens page >> click “Ask” (under large blue token balance field) >> click “Find Givers” >> enter giver “steve@bizgenics.org” >> # tokens needed >> click “Send”. You’ll receive a notification when Steve has added the token to your account.

Edit “HIplan Hackers” Group

You will receive an invitation to become a Group Manager. visit Features >> Groups >> select “HIplan Hackers” to edit Group Features including Calendar, Sponsors and Settings.

Edit “HIplan Hackathon” Contest

You’ll receive an invitation to become a Contest Manager. visit Features >> Contests >> select “HIplan Hackathon” to edit Rules, Prizes, Sponsors, Judges, Calendar, Results and Settings.

Select Teams

In preparation for the Kickoff Meeting create Team Rosters to define teams including a Project Owner for each team, additional team members and mentors. You can circulate a document so Project Owners will be prepared to invite team members and mentors during the Kickoff Meeting.

KICKOFF MEETING

Give Team Rosters to Project Owners so they can open projects and invite team members and mentors to respective teams.

Project Owners Create Team Projects

• Open a Project: Visit Library >> Contests  >> HIplan Hackathon >> Info >> Enter Contest >> follow instructions to enter a Project Name (can be edited later), Contest Template (“App-preneur”) and Select Group (“HIplan Hackers”).
• Invite Team Members: visit {project-name} >> Team >> Invite Members >> follow instructions to add team members by searching system users by email address. Options exist to make new members co-owners of the project and to select specific roles and co-roles for each member. Roles are editable at any time, so they can be changed as your team matures.
• Invite Mentors: visit {project-name} >> Team >> Invite Mentor >> follow instructions to add mentors by searching for system users by email address.

Non-Project Owners

Accept an invitation to join a team.

HUDDLES

Provide logistical announcements and answer team process questions.

COLLABORATE AT BIZZYB

BizzyB has a number of built-in communication features for brainstorming, and working with team members, mentors and contest staffers. Teams are also encouraged to use other communication and projection tools, but are advised that mentors will only be available through BizzyB to be respectful of their time and time zone differences. Final projects will be presented through BizzyB. Key collaboration features include:

• Project Concept Canvas: direct teams to use the BizzyB journaling system (5 Essential Themes of Innovation) as their main workspace to build their project concept. The project template loaded for this hackathon is “App-preneur” which includes tips, examples and inspiring quotes to help open brainstorming abilities. All team members have rights to add/edit project content. The judging rubric is also driven by the 5 Essential Themes of Innovation.
• Comment Channels: all team members, team mentors and contest staff have viewing rights of team journal content and the ability to comment on project content. Team members are invited to ask questions to mentors via sidebar comments or set up meeting times by other means such as by video chat.
• Built-In Feedback Surveys: project owners and topic leaders have access to built-in topic content feedback surveys that can be sent via email address to anyone, whether a system member or not. Surveys include specific topic questions, wild card questions and ability for surveyees to add comments. Aggregated survey information including surveyee demographics, rating responses and comments. We suggest that teams send out at least one round of surveys per topic section and that more surveys, particularly as overall ideas evolve is a good practice.
• Lesson Mastery Topics: reference materials such as the “Hooked” App Addiction Model are included under Lessons in the project navigation bar.

Prepare Showcase Pitches at BizzyB

Teams are recommended to perfect team profile content in “Settings” and edit Reports to prepare for their Showcase Pitch.

• Pitch Deck: Teams are recommended to use the built-in BizzyB Deck to build their pitch. Teams are also welcome to use a separate pitch deck on other slideshow systems.
• B-Plan: contest judging criteria are reflective of the sections contained in the BizzyB B-Plan format. To ensure full coverage of conceptual thinking, we suggest that teams refer to this document as a cross-check.
• OPTION to Create a Project Video: Teams have the option to create a short video to demo their concept, host it at their favorite location and embed a link on their projects Settings page to make their video available for playback during their showcase pitch. Their video can be all or part of your allotted pitch presentation time.
• OPTION to Create a Demo or UI: Teams have the option to create a working demo or user interface design of key features.

SHOWCASE & AWARDS

• 5-Min Pitch: Each team is allotted 5 minutes to present their pitch. Requirements:
  Every Team Member must be a leader and take part in presenting at least one Key Topic.
  Pitch Deck can be prepared at BizzyB or other slideshow editing software.
  Optional video, demo or User Interface design can be used but is part of the 5-minute maximum time allowed.
• 5-Min Q&A: Each team is allotted 5 minutes to answer questions from Judges. Questions must be answered by the Leader(s) of relevant topic sections.
• Awards: Tabulations will occur immediately with Awards and Prizes being announced directly following the conclusion of team pitches. Winner results will be published on the HIplan Hackathon page at BizzyB as well as promoted in a news release to media outlets.
